Working to meet the health and nutritional needs of women, children and families with information, education, and quality care, MFHS is currently seeking a full time Executive Assistant to work in our Admin location.



Job Summary:  

 

The Executive Assistant is responsible for supporting the President & CEO, managing relations and meetings with the Board of Directors and its committees, collaborating with program leaders to manage special projects, and to aid executive leadership and senior management as needed.



ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Plan on-site and off-site meetings for executive and senior management including the coordination of All Staff meetings.
  • Prepare and manage presentations, and draft and edit communications as needed.
  • Supports all stages of fundraising plan and event operations as directed, from planning through the day of event which includes sending invitations, scheduling speakers and vendors, recruiting volunteers, arranging refreshments and other event related activities; Assists with annual giving campaign, corporate sponsorships, major giving, and planned giving. Maintains donation records in MFHS database (Raiser’s Edge NXT), prepares and sends acknowledgements, creates reports, and presents outcomes to management periodically and as requested.
  • Facilitates and coordinates communications, calendar appointments, travel itineraries, meeting registrations, and other activities of the President & CEO. Completes expense reports and prepares and gathers documents and information with minimal direction
  • Acts as the MFHS Board of Directors’ liaison by managing member queries, maintaining contact information and relationships, and providing direct support to Board members and subcommittees by scheduling and attending meetings, drafting board and board committee meeting agendas and minutes, handling meeting logistics, and maintaining required records. 
  • Discreetly handle confidential matters as requested, including interactions with Board of Director’s, community stakeholders, and employees.
  • Provides administrative and logistical support for facilitating special projects, such as initiating meetings, identifying and communicating project objectives, resources, and challenges, executing action items, conducting research, arranging training, reporting on progress and outcomes, conducting post project evaluations, creating presentations and special reports, preparing agenda materials, and maintaining proper documentation.
  • Manages contracts, agreements, and MOUs with partner organizations ensuring timely execution and centralized and organized filing of executed documents.
  • Performs various other administrative functions in support of executive leadership and senior management as needed.
  • Promotes and contributes to organizational and programmatic goals of MFHS. 
  • Performs other duties as assigned


 

Qualifications/Requirements/Experience:

  • 5+ years providing executive administrative support
  • 1-3 years’ experience with project management.
  • Bachelor’s degree in business or related field
  • Excellent written communication skills are required to effectively communicate with potential donors, board members, and the public.     
  • Ability to articulate clearly and with diplomacy.
  • Excellent verbal communication skills for public speaking, group presentations, etc.
  • Use independent judgment and discretion in dealing with highly confidential information and sensitive situations.
  • Strong planning and organizational skills.
  • Impeccable attention to detail.
